Reports and downloads

Agents can turn an answer into a Word, Excel, PDF or PowerPoint file you download. The document of record in Colleag stays Markdown in Git. The Office file is a download, not something you save into the product tree.

Ask for a report

In the workspace, ask the agent to write the report you need — a test summary, a supplier table, a slide outline. When it is ready you get a download for the Office or PDF file.

Use this for something you will send outside Colleag. Keep working in the canvas for the living document.

The monthly report

Ask Colleag for the monthly report — for example "Make the monthly report for September as Excel". It is the report many companies send management or their group at each month end. Colleag reads from Monitor:

Section Contents
Orders received Top 5 customers, other and total: month, rolling 3 months and year to date against last year
Order backlog Open order value by delivery time (1–3, 4–6, 7–9, 10–12, 12+ months), external and internal
Sales As orders received, with gross margin against standard price
Inventory Stock value at the month end against last month and last year
Accounts receivable Outstanding at the month end against last month and last year, and customers more than 60 days overdue

The first time, Colleag asks a few questions — when the fiscal year starts, whether amounts should be in thousands, which customers are group companies, which accounts make up gross margin 2, costs and EBITA, and whether the report should follow your own template. The answers are saved in settings/monthly-report.yml among the company documents, so next month's report asks nothing. Once the account mapping is confirmed, gross margin 2, costs and EBITA come from the bookkeeping in Monitor — check one finished month against your own closing before trusting the figures. The headcount section is filled in by hand.

If Colleag's user in Monitor may not read an area — the customer ledger, for example — that section says which area it is, instead of showing a zero. Ask your Monitor administrator to grant read access and the section fills in next time.

Save keeps the markdown

If you Save a generated report into the product, Colleag stores the Markdown sibling — the readable source. It does not put the .docx or .xlsx into Git.

Download still gives you the Office file. Open it locally, attach it to mail, or file it in SharePoint. The product repository stays text.

Imported originals (a customer PDF, a scanned drawing) are different. Those binaries belong under imported/ as provenance. See Documents and the canvas.

Teams

You cannot create or save a report from @Colleag in Teams. Ask in the workspace, then download. See Asking Colleag from Microsoft Teams.
