Short answers to the questions that come up most often. Each one links to the page with the full story.

Getting in

How do I get an account?

Someone in your organisation invites you. There is no self-service signup. An owner or admin adds your email under Settings → Members, picks your role and sends the invitation. See Logging in.

I have an invitation link but it takes me to a sign-in page

That is correct. Sign in first with the work account the invitation was sent to, and you are returned to the invitation and joined automatically. Signing in with a different address leaves the invitation unaccepted.

Why is there no password field?

Colleag does not keep passwords. You sign in through your organisation's identity provider — usually Microsoft — with the account you already use at work, including whatever multi-factor step your company requires.

I signed out but it signs me straight back in

Use Sign out in the avatar menu rather than closing the tab. It ends the session with the identity provider too, so the next login asks for credentials.

Finding your way

Where are the agents? My sidebar only shows four headings

Product Development agents appear once you select a product in the Select product… dropdown. Commercial, Corporate and Quality System agents appear when you open those sections — they work at company level and need no product. See Finding your way around.

Where do I find my earlier conversations?

At the bottom of the sidebar. They are filtered to the current agent by default; click All to see every conversation, with a colour dot showing which agent each belongs to.

What do the orange and purple counters mean?

Orange n drafts is documents changed but not published. Purple n reviews is review requests waiting. Both are explained in Publishing and reviews.

Working

Which agent should I ask?

The one that owns the answer: Supply Chain for lead times, Regulatory for directives, Sales for what you have sold. If a question spans several disciplines, use the roundtable.

The agent changed my document — how do I undo it?

If it came as a suggestion, reject it in the inline diff. If it was written directly, use the version stepper in the canvas toolbar to go back. Nothing is published until you publish it. See Documents and the canvas.

How do I make the agent edit only one paragraph?

Select that paragraph in the canvas before you ask. Your question is sent with the exact passage and the agent is told to change nothing else.

What are credits and what uses them?

Every agent answer costs credits, and larger models cost more — the multiplier is shown next to each model name in the composer. A roundtable is many answers at once and costs accordingly. The balance is in the top bar and the detail is under Settings → Billing.

Publishing

What is the difference between saving and publishing?

Saving keeps your edit in the working copy as a draft. Publishing puts it into the current version with a revision number and a change note. Freezing a baseline goes one step further and locks the published state as a numbered product revision. See Publishing and reviews.

Why can I not freeze a baseline?

Either drafts are still outstanding — publish or revert them first — or open red risks are blocking the freeze. In the second case you can resolve the risks or record a waiver, which is written into the Revision Info as a known deviation.

Technical or editorial — which do I pick?

Technical for a real change to content; it gives approved documents a new revision number. Editorial for wording, formatting and typos; it gives a new letter. The exact sequence follows the scheme set under Settings → Revisions.

Data and systems

Where is our data, and can we get it out?

Every document is a plain Markdown file in a Git repository your company owns. Settings → Your Data shows the clone URL for each one. You can clone, export or move to your own GitHub or Azure DevOps at any time.

Can Colleag change anything in our ERP?

No. ERP integrations are read-only. Colleag reads articles, stock, orders, suppliers and prices; it never writes back. See Integrations and your ERP.

Our ERP is behind a firewall. Does that work?

Yes. Use the Secure connector: a small outbound agent runs on your own network next to the ERP and dials out to Colleag, so nothing has to be opened inbound.

Can we use our own AI models?

Yes. Under Settings → AI, choose Your own Azure OpenAI and enter your resource URL, key, API version and deployment names. Prompts and tokens then stay in your Azure subscription.

Administration

How do I invite someone?

Settings → Members → Invite Member: enter the email, choose Engineer, Admin or Viewer, and send. See Settings & Admin.

Can we add a discipline we do not have?

Yes. Settings → Disciplines lets you fork a built-in discipline or create a new one. Only enabled disciplines appear in the sidebar and join roundtables.

Where do I get more help?

Search this manual first — the box at the top covers every page. Beyond that, ask your organisation's Colleag administrator or the contact person who set up your account.
